Privacy statement HR

We want to live up to the trust that we treat carefully with your personal data every day. We work with well-protected information systems and clear privacy statements. We adjust these when necessary. As now, with the introduction of the General Data Processing Regulation (AVG). Read here how we handle your personal data when you apply or work with us.

Who are we?
We are Woudschoten Hotel & Conference Venue (hereinafter called Woudschoten).

Woudschoten is located at Zeist, Woudenbergseweg 54, 3707 HX, is responsible for the processing of your personal data (Processing Officer in the sense of the AVG).

From whom do we collect personal data?
We collect personal data from:

applicants, (potential) candidates, freelancers, flex workers, employees of suppliers, participants of customers or other persons
We collect and process your data for the execution of our HR administration, including personal development and employability, reintegration, advice, planning and personnel and payroll administration.

We process the information:

to properly execute the agreement and / or user conditions that we have agreed with you
to comply with a legal obligation
on the basis of a legitimate interest that is in accordance with or results from the stated objectives (why do we process personal data), we do this on the basis of a careful assessment and weighing of interests.
in limited cases: with your permission, wherever possible and you can give this consent in freedom. (If you are younger than 16, we need the permission of your parents or the person who has parental responsibility).

When will we collect your personal data?
We collect your personal information, for example;

of social media, only if we have a legitimate reason to assume that you would be interested in work. In that case we will approach you if you are interested. If you are not interested, we can process relevant data from you to take into account your wish not to be approached by us;

if we receive personal information from your reference contact persons;

if customers, where you are offered or where you work or have worked, share personal information about you with us or who you register for our services; if this is part of or ensues from our agreement;

from suppliers in the context of lending and lending, in that case we have agreed with the supplier that this informs you and refers to our privacy statement.

With whom can we share your personal data?

  • Woudschoten can pass on your personal data to the following (categories of) recipients; subcontractors and suppliers (such as data processors) who provide services or carry out assignments on behalf of Woudschoten. Woudschoten makes every effort to optimally protect your personal data. We do this on the basis of our information security policy. We have taken physical, administrative, organizational and technical measures to prevent unauthorized use, taking into account the latest state of the art. These measures are regularly evaluated and updated where necessary.

What personal information do we collect from you?
We process the personal data necessary for our service; part of this information is required to use our services. We can not execute our services without this information. More specifically, this concerns – among other things – the following (documents with) personal data:

At registration:

  • Name and address, e-mail address and other contact details; birth data, age, gender;
  • curriculum vitae (CV), information about training, internships and work experience;
  • information about training and education and / or testing that you have followed or done yourself or through us;
  • data on availability and leave;
  • other data that are or may be important in the assessment of the suitability of you as a candidate, for example references and testimonials;
  • passport photo and video (introduction) – on a voluntary basis.
  • The ID certificate may be stored and checked during recruitment and selection in order to check whether you are allowed to work in the Netherlands. If you do not start working for us within four weeks, the ID proof will be removed.

Data such as your gender, we ask to communicate with you, data on age to identify you in our systems and to determine whether we have certain obligations (such as with regard to the wages and whether we need permission from parents or guardians) .

The moment you can work / work / work for Woudschoten;

  • nationality, BSN number, ID certificate, work permit;

Why do we collect your personal data
We collect and process your data for the execution of our HR administration, including personal development and employability, reintegration, advice, planning and personnel and payroll administration.

More specifically, your personal data will be processed at;

  • communicate (correctly and clearly) with you;
  • to make offers and / or provide information about the services and other activities and to better attune them to your wishes and qualities, this is done by our employees and partly automated (for example with a vacancy alert);

  • improve our services; for example, if we take calls for training purposes, we will inform you in advance;

  • gain insight into companies where or through whom you may be deployed or how we can support or advise you in the search for work;
  • to enter into and maintain an employee or personnel / broker relationship with you and to carry out the relevant administration for this purpose;
  • to meet our reintegration obligations and to comply with (the government-imposed objectives)
  • to help people with a large (er) distance to the labor market to work;
  • to carry out the necessary actions and administration in case we are self-insured;
  • promote your personal development and employability, including through training, education and testing;
  • for management purposes including; management information, providing internal controls and operational safety and performing audits and auditing;

How long do we keep your personal data?
The retention periods that we use depend on the applicable statutory retention periods, any claim risks or other obligations on the basis that your personal data is not stored longer than necessary.

That means:

Your mediation data (CV, work experience, training, test results, etc.) are available for a maximum of 3 months after the last contact. After this period, your data will be permanently deleted.

If you work / have worked for Woudschoten
Your personal data are available up to seven years after the end of employment.
